Editorial Policy

How we decide what to review, how we assign and edit every article, and where we draw the line between editorial and business. If you are going to trust our verdicts, you should know how they were made.

Independence

Our editorial team alone decides what we review, how we rank it, and what verdict we publish. Vendors do not pay for placement. Advertisers do not see reviews before they go live. Affiliate partners do not influence our scoring criteria. If a tool wins, it wins on merit.

This is not a negotiating position. It is the operating principle. We have recommended free and open-source tools as our top pick in categories where paid alternatives offered higher affiliate commissions. We will continue to do so whenever the free option is better.

How an Article Gets Made

Every article on Top5soft moves through four gates before publication:

1. Assignment

An editor matches the topic to the writer on our team with the deepest subject-matter knowledge. Marcus Chen reviews VPNs. David Okonkwo reviews developer tools. No generalists writing about encryption protocols.

2. Research and Drafting

The writer installs and uses every tool referenced in the article. Spec-sheet reviews are not allowed. AI may assist with research synthesis and early drafting, but never writes final copy unattended.

3. Editorial Review

A second editor – not the assigning editor – checks every factual claim, tests a sample of the steps described in the article, and reviews the piece for voice, clarity, and fairness.

4. Final Sign-Off

A senior editor approves the article for publication. No piece goes live without this sign-off. Every article carries the byline of the person who wrote it and the date it was last reviewed.

Sourcing Standards

Every factual claim must trace to one of three sources: hands-on testing by the writer, the vendor’s official documentation, or a verifiable primary source we can link to. Marketing copy and forum hearsay are not sources. When we cannot confirm a number – user counts, enterprise pricing, internal metrics – we say so explicitly.

Corrections

We fix factual errors within 48 hours of being notified. Every correction is timestamped at the bottom of the article. If a correction changes a ranking or verdict, we state what changed and why – no silent edits. To report an error, email corrections@top5soft.com.

Sponsored Content

If content is sponsored or produced in partnership with a vendor, it is labeled at the top of the page with a disclosure you cannot scroll past. Sponsored content is never mixed into our editorial rankings, and sponsored posts do not appear in our comparison articles.

Conflicts of Interest

Every writer and editor must disclose:

  • Any financial interest in a vendor they are assigned to review.
  • Any personal relationship with a vendor’s employees or founders.
  • Any prior employment at a company whose products they review.

If a conflict exists and cannot be resolved by reassigning the article, we disclose it to the reader at the top of the piece.

We do not accept:

  • Paid travel from vendors.
  • Free hardware or software licenses kept beyond the review period.
  • Equity or stock in companies we cover.
  • Speaking fees from vendors whose products we review.

AI Use at Top5soft

We use AI tools in our workflow: they help with research synthesis, competitive analysis, and early drafting. But AI does not decide what we review. AI does not assign scores. AI does not write final copy. A named human author is responsible for every article on this site – the facts, the words, the verdict.
